Track commitments and actuals in Money Room
Use purchase orders and receipts to maintain a production cost report with a clear audit trail.
Use Finance as a production register
Money Room tracks the budget, commitments, actual costs, and forecast at completion. It is not a bank feed, payroll service, or accounting ledger. Reconcile its records with production accounting and supporting documents before making a financial decision.
Record purchase orders by status
Choose + Issue PO, select an account, and enter vendor, description, and amount. Open POs count as committed. Invoiced and paid POs count as actual. Voided POs count as neither. Update status only when the supporting invoice, approval, or payment record exists.
Log direct costs
Choose + Log receipt for card purchases, petty cash, or other costs that do not begin with a PO. Enter the exact amount and the best matching budget account. If the account is Unbudgeted, add or correct the top-sheet line before relying on the account variance.
Read the cost report columns
Budget is the approved top-sheet amount. Actual is recorded invoiced, paid, or receipt spending. Committed is open purchase orders. ETC is the remaining estimate to complete. EFC is actual plus committed plus ETC. Variance compares budget with EFC. A positive bank balance does not replace this forecast.
Preserve weekly evidence
Choose Take weekly snapshot after the accounting cutoff, then export the cost report CSV for review. Snapshot history is intentionally bounded, so keep dated exports in the production records. Amounts are stored and exported to exact cents; investigate rounding or duplicate commitments instead of adjusting totals by eye.
